Counting hours worked, block by block

Split shifts, school runs, a clinic that closes at lunch: plenty of days have more than one clock-in. Rather than subtract a break from one long span, enter each block you actually worked. The calculator adds the blocks, reports the gaps between them as unpaid time, and still copes with a block that runs past midnight.

Payroll hours: what counts

The U.S. Department of Labor’s rules on hours worked (29 CFR Part 785) count time you are required to be on duty or at a prescribed workplace. That includes short rest breaks, required meetings and training, and waiting time when you are “engaged to wait”. Time you are fully relieved of duty for a meal period of about 30 minutes or more is usually unpaid. This is general information, not legal advice.

Questions people ask

How do I calculate hours worked in a day?

Add up each block between clocking in and clocking out. If you worked 7:30 AM–11:45 AM and 12:15 PM–4:00 PM, that is 4 h 15 min plus 3 h 45 min = 8 h 0 min. The gap between blocks is your unpaid break, so you don’t subtract it again.

How many hours is 8 AM to 5 PM with a 1-hour lunch?

8 AM to 5 PM is 9 hours on the clock. Minus a 1-hour unpaid lunch it is 8 hours of paid work, or 8.00 decimal hours.

How many hours is 7 AM to 3:30 PM?

8 hours 30 minutes on the clock. With a 30-minute unpaid lunch it is exactly 8 hours worked.

Are breaks counted as hours worked?

Under the federal FLSA, rest breaks of about 5 to 20 minutes are paid work time. Meal periods of usually 30 minutes or more, when you are completely relieved of duty, are not (29 CFR 785.18–785.19). Some states require breaks; the pay rules still follow this pattern.

How do I calculate payroll hours for an employee?

Total the paid minutes for each day, convert to decimal hours by dividing by 60, and add up the workweek. Hours over 40 in the workweek are overtime under the FLSA. Use the time card calculator to do a full week at once.
